1. Definitions
- “We”, “Us”, “Our”: refers to Crystal Clara*, part of the OutSec Group.
- “Client”, “You”, “Your”: refers to the individual or organisation engaging our services.
- “Services”: refers to the remote personal assistant services, proofreading, transcription, formatting, diary and email management and other administrative support provided by Crystal Clara.
2. Service Overview
We offer flexible, professional support tailored to your needs. Services are provided remotely and may include:
- Ad hoc or regular PA support
- Proofreading and editing
- Document formatting and copy typing
- Diary and inbox management
- Client liaison
- Research for the purposes of the business
- Other administrative assistance as agreed in writing
3. Service Terms
- Services are delivered remotely unless otherwise agreed.
- All services are subject to availability.
- A formal quote or service agreement must be confirmed in writing before work begins.
- We reserve the right to refuse or discontinue services at our discretion.
4. Rates and Payment
- Our standard rates are clearly set out on our Pricing page [accessed at https://crystal-clara.co.uk/our-rates-packages/ ]
- All prices are quoted in GBP and are exclusive of VAT unless otherwise stated.
- Invoices are issued monthly or as agreed.
- Payment terms: strictly 14 days from invoice date.
- Late payments may incur interest in accordance with the Late Payment of Commercial Debts (Interest) Act 1998.
- All bespoke pricing arrangements and packages will be agreed in writing ahead of service delivery.
5. Confidentiality
We take confidentiality seriously and comply with the UK GDPR and Data Protection Act 2018. All client data and communications will be treated as confidential. Please see our Privacy Policy for more details.
6. Data Security
Crystal Clara operates under the OutSec Group’s Cyber Essentials Certification. We take all reasonable steps to safeguard client data, but clients are responsible for securing their own systems.
7. Client Responsibilities
You agree to:
- Provide clear instructions and deadlines.
- Ensure materials shared with us do not breach third-party rights.
- Cooperate reasonably and provide feedback where necessary.
8. Cancellations and Refunds
- You may cancel a project with 48 hours’ notice.
- Work already completed will be charged in full.
- No refunds are provided once services have been delivered, unless otherwise agreed in writing.
9. Intellectual Property
All materials provided by the client remain their property. Any documents or materials produced by us are transferred to the client upon full payment, except where we use proprietary templates or tools.
10. Limitation of Liability
- We are not liable for indirect or consequential losses.
- Our liability is limited to the total fees paid by the client for the relevant service.
11. Force Majeure
We are not liable for delays or failure to perform services due to events beyond our reasonable control (e.g., natural disasters, power outages, internet disruption).
12. Amendments to Terms
We may update these terms from time to time. The most current version will always be available on our website. Continued use of our services implies acceptance of any changes.
13. Governing Law and Jurisdiction
These terms are governed by the laws of England and Wales, and any disputes shall be subject to the exclusive jurisdiction of the English courts.
